Supplier payments and sales settlement, linked to your stock

Wholesale finance starts with the order and the stock behind it. Wholety connects supplier payments, merchant receipts and cost settlement to your purchase and sales records, so staff can distinguish confirmed costs from actual money paid or received.

Order totals include the signed order discount. A negative balance records a supplier prepayment or merchant credit; it does not cancel another order's unpaid balance. Net cash here is sales receipts less supplier payments. Freight and tax invoices have their own records.

Ask your Agent: what is still unpaid on this order?

Give your connected Agent an order reference. It can read the payable or receivable, payment records and remaining balance through MCP, then show the records that need reconciliation. Review the amounts and currency before acting. Reading a balance does not make a payment or predict future cash flow.

Separate supplier payables from merchant receivables

Supply-chain finance operations track the purchasing side through accounts payable. Sales finance operations track the selling side through accounts receivable. Return finance operations handle refunds. Each workflow is connected to its source order, so staff can inspect the relevant purchase, sale or return while reviewing a financial record.

Check the complete ledger for each order

Order details and finance operations share the same complete server balance. Purchase payable is goods plus the signed order discount; freight and tax invoices stay separate. Cash in, cash out and net cash include effective payments and reversals, with a cutoff shown. Prepayments and overcollected receipts keep their negative balance. Staff can page through the underlying records, including more than 100 entries, and distinguish unavailable totals from a real zero.

Review merchant debt with fresh order and receipt balances

The merchant list queries current-page balances from complete placed sales orders and effective receipts. Outstanding receivables and overcollected credit appear separately, so credit on one order does not hide unpaid amounts on another. Future-dated receipts wait until they take effect. Staff can refresh balances and see the Toronto business cutoff; missing facts and hidden amounts remain distinct from zero. Read API Keys can query the same merchant summaries through HTTP or MCP within the account and permitted merchant scope.

Record payment dates and currency amounts consistently

Payment dates use Toronto business time across the dashboard and Agent APIs. Offset timestamps are converted to the same instant, and future payments affect current balances only when effective. Cash amounts use two decimal places, foreign amounts four and positive exchange rates six. Missing rates prompt the user to supply a rate or clear the currency before saving.

Keep freight and currency context with the trade

Cross-border purchases involve costs beyond the purchase price. Wholety supports freight allocation, multi-currency operations and configured exchange rates. These tools connect the cost context to the business records used for settlement and reporting. The supply-chain and finance manuals describe how costs and settlement records fit into the trade cycle.

Manage tax invoices alongside the order workflow

Wholety includes tax invoice management and configured regional tax zones. The current product supports province-based Canadian tax handling, including GST, PST and HST. Finance staff can review tax invoices alongside the associated business operations. Tax-zone setup belongs to system administration and should reflect the business's actual operating requirements.

Review settlement dependencies before closing an order

Supply settlement and sales settlement are linked in the overall business process. The finance manual provides a settlement panorama to help staff understand those dependencies. Finance dashboards and order profit reporting bring together the recorded costs and sales information, while the manual remains the reference for the exact settlement steps.

How the workflow fits together

  1. Configure finance types, tax zones and exchange rates.
  2. Review purchase costs and supplier accounts payable.
  3. Review sales records and merchant accounts receivable.
  4. Record invoices and process the relevant settlements.
  5. Inspect finance dashboards and order profit information.

Common questions

Does Wholety support both accounts payable and receivable?

Yes. Supply-chain finance operations cover accounts payable, and sales finance operations cover accounts receivable. Return finance operations handle refunds.

Where can I learn the settlement sequence?

The finance manual includes a settlement panorama explaining the dependency between supply settlement and sales settlement, alongside the steps for each finance operation.

Can an AI agent check an order balance?

Yes. An account-scoped read API Key can query the per-order finance summary through HTTP or MCP. It returns complete effective cash movements and signed balances within the account and permitted partner scope. Agents can inspect the paginated ledger and tax-invoice totals while respecting hidden amounts and read-only access.
